We have a new feature:
You can now ask other colleagues, who aren’t administrators on your Smart Clinic account, to draft referrals for you.
This is particularly useful if you don’t have time to make the referral yourself, or alternatively if you’d like to ask an employee’s line manager, or another third party like an HR consultant, to draft a referral on your behalf.
This draft referral won’t get submitted to us until you have checked and approved the referral, and whoever has access to draft the referral on your behalf won’t have full access to the portal, so they can’t see any of your confidential data or usage history.
Example scenario:
Jane is an HR Manager, and needs to refer Peter for an occupational health assessment. Jane doesn’t know the full background of the situation, so needs to ask for input from Jo, Peter’s line manager.
Peter isn’t trained in HR and therefore Jane would like to be able to review the referral before it gets submitted to Smart Clinic. Jane also doesn’t want Jo to have full access to the Smart Clinic portal, because Jo shouldn’t be able to see previous referrals or any other confidential information.
So Jane sets Jo up as an ‘external referrer’, allowing Jo to draft a referral and submit it to Jane for approval before it gets sent onto Smart Clinic.
How do I set this up?
With ease!
Just visit your admin client area, and click on ‘reports and usage’. You’ll see there’s a new tab called ‘Drafting Referrals’. Just type in the name and email of whoever you would like to be able to draft referrals on your behalf, and press ‘send invitation email’.
You’ll see this person is now added to the ‘active external users’ list below, meaning they can draft as many referrals as they need to. You can remove their access whenever you need to, or resend the invitation if they’ve lost it!
There’s a screenshot of the new system below, so you can see how easy it is to set someone up.
Enjoy!
